5 STEPS TO GETTING STARTED WITH EQUINEM

EquineM is a online stable management tool for equestrian businesses that want to streamline their daily operations and organize their administration. EquineM consists of various modules that can be customized and activated/deactivated based on your needs. This means stables and teams of all kinds can enjoy increased productivity and visibility.

Step 1 – Add horses

Login to EquineM via the webapp or the mobile app. Go to module Horses. Press the Add Horse button to add your first horse to the system.

Note: entering the UELN or Chip number, allows for the import of the horse data available from Horsetelex

Step 2 – Create your first activity

Now that a horse has been added, you can add the first activity. Go to module Activities and sub-menu By Horse. Press anywhere in the agenda to trigger the add activity modal. Scroll/swipe over the activity types in the modal to find the activity type you want to add.

Alternatively, you can press the + Add button to add an activity (or a task or message).

Step 2b – [Optional] Update activity types

EquineM comes with a number of default activity types to use for the planning of activities. For your specific stable, you may want to update, add or remove activity types.

Go to module Activities and sub-menu Settings. Here you see the list of all activity types defined in the system. You can add activity types by pressing the + Add button. It is also possible to edit or disable the current activity types defined in the tool.

Step 3 – Add users

You can add users to your stable environment. Each user has his/her own log-in credentials. You assign one or more role(s) to each users, which gives the user specific permissions.

Go to Organization admin and sub-menu Users. Click on the button + Invite user. Fill-in the details of the user in the modal. A role has specific permissions in the system. Assigning multiple roles to a user will give the user all the permissions that are associated with one or several of these roles.

The user will receive an email with an invitation to create a personal account on EquineM with access to your stable.

Step 3b – [Optional] Update roles and rights

EquineM allows you to add your own roles to the system and/or change the permissions associated with a role. In order to do this, go to module Organization admin, submenu Permissions. Here you see an overview of all roles defined in the system, including their permissions.

Step 4 – Assign activities to users

Activities can be assigned to specific users. Go to module Horses, submenu By staff. Here you see all the activities currently defined in the system, grouped by assignee. At the bottom are all unassigned activities.

To assign the activity to a user, simple drag-and-drop the activity from the top row to the row of the specific user.

Alternatively, click on the activity to open the activity modal. Click on the pencil icon (top right) and add the user to the activity.

Step 5 – Add historical information to the system

Historical care activities

Adding historical health related activities, will ensure the system gives you a timely notification for a renewed vaccination, deworming, farrier, etc. Go to the module Activities, submenu Care. Here you see the overview of horses and their (most recent and/or upcoming) health related activities. Click on the ‘+’ icon in the table, to add an (historic) care activity.

Adding future care activities can best be done from the Activities > By horses submenu.

Horse related data

Go to module Horses submenu Horse list to see the full list of horses in your stable. Clicking on one of the horses will take you to the horse details page. Here you can add documents, images and other information related to the horse.

Assign ownership will ensure the defined user with role horse owner will be able to see this horse in his/her account (but not see the other horses). Also the ownership percentage is used when creating invoices in the financial module.

Assign a default team will make sure an activity added for this horse is (by default) assigned to the specified team member.

Both the horses and the activities module are now configured. You are all set for EquineM!
